Terms and Conditions

1. PRIVATE LESSONS

1.1 : Private Lessons operate Cancellation Policy with a 48-hour Notice Period. Any Private Lessons cancelled within this Notice Period will be charged a Cancellation Fee, defined as a fee equal to that of the Private Lesson booked. Failure to pay may result in future Private Lessons being cancelled. It may be understood that sometimes cancellation within the 48-hour period before your Private Lesson is beyond your control, in which case discretion towards the Cancellation Fee will be left up to management.

1.2 : Late arrivals to Private Lessons are not able to be extended due to our back-to-back teaching timetable and will not be entitled to any partial refunds.

1.3 : Private Lesson cancellations must be received in writing to info@berkshireballroom.co.uk or by telephone 01344 206300. Failure to communicate in this matter, will result in the Cancellation Fee being charged equal to that of the Private Lesson booked.

1.4 : Sometimes Private Lessons will need to be cancelled due to staff sickness or absence. In these events, we will reschedule your lesson to another Teacher if available at the same time and day. If these circumstances do not allow, we will contact you to reschedule to another day or time agreed by both parties.

1.5 : Berkshire Ballroom LTD reserves the right to ask Dancer/s to leave the premises if displaying symptoms of illness. This may result in Private Lessons charged in full and any waiver in payment is at the discretion of management.

1.6 : If Private Lesson fees are not received prior to commencing the Private Lesson, Berkshire Ballroom LTD reserves the right to charge a Late Payment Fee of £5, payable on receipt of email from Berkshire Ballroom LTD.

2. GROUP CLASSES

2.1 : Group Class payments are non-refundable and non-transferable. Group Classes operate a Cancellation Policy with a 24-hour Notice Period. Any Group Classes cancelled within this Notice Period will be charged a Cancellation Fee, defined as a fee equal to that of the Group Class booked. It may be understood that sometimes cancellation within the 24-hour period before your Group Class is beyond your control, in which case discretion towards the Cancellation Fee will be left up to management.

2.2 : Group Classes can only be rolled over to future Group Classes if Berkshire Ballroom is notified in writing prior to the 24-hour Notice Period.

2.3 : Our Group Classes are limited in numbers and failure to attend can impact on other Dancers attendance. Berkshire Ballroom operates a first-come-first-served basis for Group Classes. Frequent non-attendance which results in other Dancers being unable to attend may result in priority being given to other Dancers.

2.4 : Group Class cancellations must be received in writing to info@berkshireballroom.co.uk or by telephone 01344 206300. Failure to communicate in this matter, will result in a Cancellation Fee being charged, defined as a fee equal to that of the Group Class booked.

2.5 : In exceptional circumstances, classes may need to be cancelled. Payment for a cancelled class will be rolled over to the following week or rescheduled class at no cost to the buyer.

2.6 : If Group Class fees are not received prior to commencing the Group Class, Berkshire Ballroom LTD reserves the right to charge a Late Payment Fee of £2, payable on receipt of email from Berkshire Ballroom LTD.

3. GIFT VOUCHERS

3.1 : Berkshire Ballroom LTD Gift Vouchers are valid for 6 months from the date of purchase. We are unable to extend Gift Vouchers under any circumstances.

3.2 : Gift Vouchers are for a maximum of 2 people unless redeeming a monetary value.

3.3 : Gift Vouchers must be presented on arrival to Berkshire Ballroom for your booking. Failure to do so will result in a full price being charged for your booking.

4. EVENTS

4.1 : Event tickets are non-refundable and non-transferable after the date specified on the website under the Event details.

4.2 : If an Event needs to be cancelled, ticket cost will be returned to the buyer.

4.3 : Event cancellations must be received in writing to info@berkshireballroom.co.uk or by telephone 01344 206300.

5. TIMETABLE CHANGES

5.1 : Berkshire Ballroom LTD aims to keep days and times constant for all Dancers, but sometimes a change in time and/or day for Private Lessons and/or Group Classes is unavoidable due to the operational needs of KGA Easthampstead. We aim to give at least 1 weeks’ notice for one-off changes. Details of closures will be announced on the website and be emailed prior to any changes.

6. CODE OF CONDUCT

6.1 : Berkshire Ballroom LTD asks Dancers to arrive promptly to Group Classes to ensure we can begin Group Classes in a timely manner. Late arrivals cause disruptions and will result in a deprivation of your learning time.

6.2 : Dancers must ‘check in’ prior to your class starting so we have a record of all students who are on the property at the time for fire and safety protocols. If you arrive late, you must speak to a teacher to let them know of your attendance.

6.3 : Dancers participate at their own risk and are obliged to inform the teaching team of any existing injuries or medical conditions.

6.4 : Dancers are responsible for their own belongings. Berkshire Ballroom LTD will store any lost property that we find after classes for 3 months, but Berkshire Ballroom LTD will not be held liable for lost or damaged property.

6.5 : Berkshire Ballroom LTD has a zero-tolerance policy on verbal or physical abuse to teachers and volunteers. Berkshire Ballroom LTD reserves the right to ask you to leave if we feel this barrier has been breached.

6.6 : Correct footwear should be ideally worn. Dancers must not wear stiletto heels and should avoid rubber soled shoes as this makes turning difficult. If you would like advice on correct footwear, please email info@berkshireballroom.co.uk.

6.7 : Chewing gum must not be consumed during a class. You will be asked to dispose of this if we see you consuming, as this poses a health and safety risk.

7. PHOTOGRAPHY

7.1 : Berkshire Ballroom LTD will sometimes take photos at classes and events for publicity purposes. These images will be used by Berkshire Ballroom to share news about classes and events, and to publicise future classes and events. Images may be used on the website and published on Berkshire Ballroom's social media platforms such as Facebook and Instagram. If you would prefer not to be photographed, please speak to a member of the Berkshire Ballroom Team. If you would like to see images of yourself or for them to be deleted, please email Berkshire Ballroom info@berkshireballroom.co.uk at any time.

7.2 : On occasion, we do allow Dancers to film class content at the end of a class with agreement from the teaching team. This is not to be shared without the consent of the filmed teachers/volunteers and must not be shared with people who do not attend Berkshire Ballroom Group Classes or Private Lessons.

8. LOYALTY CARDS

8.1 : The Berkshire Ballroom Loyalty Card Program is operated by Berkshire Ballroom Ltd (We, Us or Our). By participating in our Loyalty Card Program, you agree to the Terms and Conditions.

8.2 : The Loyalty Card is only valid at Berkshire Ballroom up to 6 months after the issue date.

8.3 : How do I participate in the Loyalty Program?

8.3.1 : All customers are entitled to a free Loyalty Card as part of the normal mode of sale. To Join our free Loyalty Program, you must first collect a Loyalty Card from the Berkshire Ballroom studios.

8.3.2 : Upon purchase of any Full Price Berkshire Ballroom Group Class, if you present a valid Loyalty Card, one (1) stamp will be awarded per one Group Class purchased. You cannot receive stamps for any prior Group Class purchases. Stamps are non-transferable between Loyalty Cards.

8.3.3 : Group Classes are limited to the following: Beginners, Improvers, Intermediate, Advanced, Competitors, Exam Classes and Technique Classes.

8.3.4 : Only valid Berkshire Ballroom stamps will be accepted. No other forms of Loyalty Points (hole punch, invalid stamps) will be deemed valid.

8.4 : How do I redeem my Rewards?

8.4.1 : In order to redeem stamps, you must present a valid Loyalty Card at the point of sale, or if purchased online upon attendance at Group Class showing proof of purchase.

8.4.2 : A Half Price Group Class of your choice can be redeemed, upon presentation of ten (10) valid stamps, on the Card Holder’s next visit at Berkshire Ballroom. The Card Holder must forfeit the ten (10) stamps on the valid Loyalty Card, which will be struck off upon redemption.

8.4.3 : A full Loyalty Card may only be redeemed for one (1) Half Price Group Class once on redemption. No other Group Classes, Private Lesson or Tuition can be redeemed.

8.4.4 : Please be advised that value of nomination may differ or be subject to change. The Loyalty Cardholder is eligible to redeem one (1) Half Price Group Class only as per the Group Classes stated in point 8.3.3.

8.5 : Additional Information

8.5.1 : We are not responsible for any lost, stolen or damaged Loyalty Cards.

8.5.2 : Loyalty Cards cannot be used in conjunction with any other offer.

8.5.3 : Loyalty Cards cannot be redeemed or exchanged for cash or any other rewards. You cannot sell or transfer your Loyalty card to anyone else.

8.5.4 : We reserve the right to terminate your membership in our Loyalty Program if we believe you have engaged in fraudulent or unlawful activity or have failed to comply with these Terms and Conditions.

8.5.5 : We may discontinue our Loyalty Cards in our sole discretion, at no liability to you. If so, we will notify you by publicly posting on our website at www.berkshireballroom.co.uk

8.5.6 : Berkshire Ballroom LTD may change these Terms and Conditions or add new Terms and Conditions for the Loyalty Program at any time in our sole discretion. If so, we will publish an updated version on our website at www.berkshireballroom.co.uk Your continued participation in our Loyalty Program will constitute your acceptance of such changes.

8.5.7 : These Terms and Conditions apply to our Loyalty Program in England and are governed by the appropriate laws.

9. PHYSICAL CONTACT

9.1 : Teaching dance is a physical activity and a Teacher will sometimes need to make physical contact with a Dancer to show an idea or to correct the Dancers position. This can include:

  • Adjusting arms, legs, rib cage, hips, feet, hands
  • Moving one Dancer in relation to another

9.2 : Where contact is needed, we will remain sensitive to the Dancers wishes and put their welfare first. In all cases, the Teacher will ask before we place hands on a Dancer. We encourage Dancers to report any concerns and if you are uncomfortable being corrected physically by a Teacher or Volunteer this must be communicated in writing to info@berkshireballroom.co.uk

10. DATA PROTECTION & GDPR

10.1 Berkshire Ballroom LTD is committed to the protection of your personal information in accordance with the principles of GDPR.

10.2 When you make an enquiry with Berkshire Ballroom through our website, we record your name and your contact details unless you do not agree to the tick box allowing us to email you regarding news, offers and events.

10.3 Your contact details will not be passed on to any third party and we will only use your contact details to contact you regarding Berkshire Ballroom news.
